Questions
Do I need to be VAT registered to send an invoice?
No. Plenty of sole traders and small businesses invoice without being VAT registered. If you are not registered, leave VAT switched off — your invoice must not show or charge VAT at all, and this tool hides the whole VAT section rather than printing zeros, which would be wrong rather than neutral.
What has to be on a UK invoice?
A unique invoice number, your business name and address, your customer’s name and address, the date you issued it, a clear description of what you are charging for, and the amount due. If you are VAT registered you also need your VAT number, the VAT rate and unit price excluding VAT on every line, and separate totals for net, VAT and the gross amount due.
What is a tax point, or date of supply?
It is the date the goods or services were actually supplied, which is not always the day you got round to invoicing. On a VAT invoice you only need to show it where it differs from the issue date. Switch VAT on and a Supply field appears beside the dates; leave it empty, or set it to the issue date, and nothing is printed.
How should I number my invoices?
Sequentially and uniquely, with no gaps. Any prefix works — INV-0042, 2026-014, or plain numbers. This tool remembers where you got to and offers the next number the following time, keeping the prefix and the zero padding you chose.
Where is my data stored?
Nowhere. There is no server and no account, and the PDF is built inside your browser. Your own business details and bank details are saved on your device so you do not have to retype them. Your client’s details and the line items are never saved at all.
Can I use it outside the UK?
You can switch the currency symbol between pounds, dollars and euros, and the layout suits most places. The VAT rates offered — 20%, 5% and 0% — are the UK ones, and there is no currency conversion: changing the symbol changes the symbol, nothing else.
Is it really free?
Yes. No account, no trial, no watermark, and no limit on how many invoices you make. It was built for our own studio and then opened up to whoever else it helps.
